Workflow Build

Turn one repeated process into a reliable system

I design, build and test a practical system around the tools your team already uses.

It may use exact rules, automation, AI assistance, human approval or a sensible combination.

Choose the right size

Start with one useful piece of work

The aim is a working system, not an open-ended technology project.

Focused first build

One Workflow Build

Best for a single, well-understood task that can be scoped and checked clearly.

  • One defined task and named owner
  • Design, build and testing
  • Simple documentation and handover
  • 14–30 days of agreed launch support

Typical builds

Useful systems start with real work

These examples can use exact rules, automation, AI assistance or a mixture.

Enquiry to action

Capture, acknowledge, route and track incoming enquiries.

Reports and meeting packs

Gather inputs, prepare a draft and flag exceptions.

Inbox and document triage

Sort or extract details and send them to the right place.

Customer or project briefs

Bring source information into one consistent summary.

Proposals and updates

Prepare a first draft from approved source material.

Exact admin tasks

Handle reminders, records, bookings and approved data movement.

Build method

The simplest reliable design wins

Every build has a clear owner, real examples, approval points and a fallback route.

1

Scope

Agree the result, systems, boundaries and owner.

2

Build

Configure and connect the agreed tools in a controlled working version.

3

Test

Use real examples and deliberately test likely exceptions.

4

Launch

Release the work carefully, explain how it operates and agree what happens when something changes.

Human control

AI does not get a blank cheque

Sensitive communication, exceptions and consequential actions can stay behind a human check. Independence only increases when the evidence supports it.

RulesFor exact, repeatable actions
AISorting, extracting, summarising and drafting
PeopleJudgement, exceptions and approval
FallbackWhat happens when information is unclear or a system is unavailable

Workflow Build FAQs

Do we have to use ChatGPT?

No.

I assess the tools you already use and recommend technology only where it fits the work, permissions and risk level.

How long does a build take?

A focused build commonly takes four to eight weeks. Access, examples, testing feedback and decision speed all affect the timetable.

Can we start in approval mode?

Yes.

Many useful systems begin by preparing a draft or recommendation for a person to approve before anything is sent or changed.

What happens after launch?

The project includes an agreed period of launch support. Longer-term monitoring and changes can move onto an Ongoing Support plan.

Bring the repeated work

You do not need to choose the tool

Explain what happens now and what a better result would look like.

I will work out the practical design.
